Overview
The Processes tab on a client record shows every workflow that has been started for that client. Each process is created from a template, progresses through a sequence of stages, and tracks completion as a percentage.
Viewing Processes
Open a client and select the Processes tab. The table shows each process with its name, status, progress bar, current stage, assignee, period, due date, and creation date. You can search by name and click Add filter to narrow the list, for example by status. See The Process List for what each column shows.
Process statuses are Not Started, In Progress, Completed, and Cancelled.
Creating a Process
- 1Open the client and go to the Processes tab
- 2Click New Process in the page header
- 3Select a Template from the dropdown — only active (non-archived) templates appear
- 4The Client field is pre-filled with the current client
- 5Set a Start Date (defaults to today)
- 6Optionally enter a Name Override to replace the template name
- 7Click Create Process
Process templates are managed in Settings → Process Templates. If the template dropdown is empty, ask an administrator to create one first.
Working with Stages
Click any process row to open its detail page. The detail page shows a progress bar at the top and a two-column layout: the stage timeline on the left and the activity feed on the right.
Each stage displays its name, type badge (Standard, Document Request, Email, Portal, Form, Fetch Accounting Data, or AI Year-End Pass), status, assignee, and due date.
Completing and Skipping Stages
From the stage timeline, you can:
- Click Complete on an active stage to mark it as done and activate the next stage
- Click Skip on an active stage to bypass the stage (only available if the stage is marked as skippable)
- Click Unskip on a skipped stage to return it to pending
- Click Activate on a pending stage to jump to it
- Click Undo completion on the most recently completed stage to make it active again
Changing the Assignee
Click Assignee on an active stage, choose a team member from the dropdown, and the assignment updates immediately.
Changing the Due Date
Click Due Date on an active stage and pick a new date. The change saves as soon as you pick it.
Bulk Actions
Select multiple processes using the checkboxes, then use the toolbar:
- Cancel — cancel all selected processes that are not already completed or cancelled, after you confirm
- Delete — permanently remove selected processes that are Not Started or Cancelled (hold ⇧ and click to skip the confirmation dialog)
