Overview
The process list is the central hub for viewing and managing every process in your practice. It provides a searchable table with filters, bulk actions, saved views, a matrix view of every client against every service, and a link to the analytics dashboard.
Use the view toggle in the top right to switch between the table and the matrix.
Table Columns
The table shows the following columns:
- Process Name — the name of the process, linked to its detail page
- Client — the client the process belongs to
- Client Manager — the client's relationship manager
- Status — a badge showing Not Started, In Progress, Completed, or Cancelled. Completed shows in green so you can tell it apart from In Progress at a glance
- Progress — a progress bar with percentage, colour-coded by urgency (red if overdue, amber if due within seven days, green if completed)
- Current Stage — the stage being worked on and where it sits in the run (see below)
- Assignee — who holds the active stage. If more than one stage is active, the first person is shown with a count of the others, such as "+1"
- Period / Year End — the period the process covers, with the key date type and its deadline underneath
- Due Date — the filing deadline (see below)
- Created — when the process was created, shown as a relative time
Use Columns above the table to show or hide columns.
Current Stage
The Current Stage column shows the active stage and its position in the process, for example "Records Request (3/11)".
- +1 (or a higher number) means other stages are running at the same time
- Next: … means no stage is active yet, and shows the stage that starts next
- All stages done appears once every stage is completed or skipped
The column is greyed out for cancelled and completed processes.
Due Date
The Due Date is the statutory filing deadline that was recorded when the process was created. For a process that isn't tied to a filing deadline, it shows the process's own target date instead.
For open processes, the date is coloured red if overdue or amber if due within seven days, and a short hint sits next to it: for example "3d overdue", "Due today", or "In 5d".
Searching and Filtering
Type in the Search processes... box to filter by name. Click Add filter to narrow the list further. You can filter by:
- Process Name, Status, Progress, Period / Year End, Due Date, and Created
- Client Manager or Assignee — filter by person
- Current Stage — type a stage name to find processes where that stage is active
Only Mine
Turn on the Only mine switch in the toolbar to show just the processes where you hold an active stage. It's off by default.
Sorting
Click a column header and choose Asc or Desc to sort the whole list by that column, not just the page you're looking at. Some columns, such as Current Stage and Assignee, can't be sorted, so they don't offer the option.
Saved Views
Click the view selector to save the current combination of column visibility, pinning, sort order, and active filters as a named view. You can share views with your team, set a default view, update an existing view, or delete one.
Bulk Actions
Tick the checkboxes on the left of one or more rows to reveal the bulk action bar:
- Cancel — cancels the selected processes that aren't already completed or cancelled. You're asked to confirm first
- Delete — deletes the selected processes. Only processes that are Not Started or Cancelled can be deleted. Hold ⇧ and click to skip the confirmation prompt
If only some of your selection can be cancelled or deleted, the button shows how many it will act on, for example Delete (3). The others are left alone.
Cancelling a process can't be undone. A cancelled process can't be reopened.
Exporting
Click Export to download the rows on the current page as a CSV file. To export a whole month of work, raise the page size first.
Row Appearance
Cancelled processes appear with strikethrough text. Completed processes appear dimmed.
Matrix View
The matrix shows every client down the side and every service across the top. Each cell shows how that client's process for that service is getting on:
- The name of the active stage (or the process status, if no stage is active), with a thin progress bar and percentage
- Not started — the client takes the service, but no process has been started for it yet
- — — the client doesn't take that service
Click a cell with a process in it to open its stages in a side panel. You can complete, skip, activate, or reassign stages from there without leaving the matrix. Click Open full view in the panel to go to the process page.
Click a Not started cell to start the process. If the service has a default template, you're asked to confirm and the process starts straight away, with its first stage active. If it doesn't, the new process dialog opens with the client already filled in so you can choose a template.
Use the Active, Prospects, Archived, and All tabs above the matrix to choose which clients appear, and the Search clients... box to find a client by name. Filters, saved views, and export work in the same way as the table, and your favourite clients can be pinned to the top.
Analytics
Click Analytics in the top right to open the process analytics dashboard, which shows KPI cards, charts, and breakdowns by template and assignee.
