Overview
HR settings controls how leave is counted across your firm, when forgotten clock-outs are closed, and how staff are grouped into departments. Open it from HR settings at the bottom of the HR menu, or from Settings → HR.
You need to be able to manage HR to change these settings. Everyone else sees HR settings locked in the HR menu.
Each card saves on its own: change what you need, then click Save changes on that card.
Leave Year
One leave year for the whole organisation. Everyone's allowance resets on the date it starts, and carried-over days are worked out at the same moment.
- Starts on: the day and month the leave year begins. A preview underneath shows the current leave year's dates
- Default entitlement: days per year for staff with no entitlement set on their record
- Maximum carryover: unused days carried into the next year. Zero means none carry
- Carried days expire: the date each year when unused carried days are removed, or Never expire
- Warn about days that will be lost: how many months before the year ends staff are shown how many unused days are above the carryover limit. Zero turns the warning off
Long Service and Joiners
- Every, Add and Up to: extra days for length of service, added to each person's entitlement. For example, 1 extra day for every 2 complete years of service, up to 5 in total. The sentence under the fields reads your settings back to you. Zero years turns the award off
- Pro-rata the joining year: someone who joins part-way through the leave year gets their entitlement in proportion to the months left. Applies only to the year they join
To set one person's entitlement or carried-over days, use Edit allowance on their HR page. See Your HR Profile.
Clocking
If your firm uses clocking, this card sets when a forgotten clock-out is closed for someone.
Clock out automatically after is the number of minutes past the end of their day, with no activity for as long. Their entry is closed at the last time they used Fortium and marked as automatic, so HR can check it. Set 0 to turn it off, and entries stay open until someone closes them. Without working hours, an entry closes once the day is over.
Clocking never locks anyone out of anything.
Departments
Departments group staff for leave cover, the leave calendar, and task reassignment suggestions. They also decide who appears on My team in Approvals.
- 1
Click New department.
- 2
Enter a Name and, optionally, pick a Head of department.
- 3
Click Create.
Assign people to a department on the Members page.
Click the pencil beside a department to rename it, change its head, or turn off Active. Inactive departments stay on existing staff but are not offered when assigning.
A department with staff still assigned can be deactivated but not deleted. Reassign its staff first, then delete it with the bin icon.
